Open in MatGoat

A student’s profile brings together their information within the academy: personal details, attendance, plan, payments and notes. Open Teacher > Students and select their name. Before editing, check the active academy and person, especially when several family members share a surname.

Review Info and the joining date

The Info tab contains the personal fields enabled for the academy. A teacher needs permission to view and edit personal information; administrators have this access. A missing row may also mean that the academy does not collect that particular field in its registration setup.

The joining date refers to membership of this academy, not creation of the MatGoat account. It has its own editing control. The login email is displayed for reference: staff cannot change it from this profile, including administrators with access to all other personal fields.

Check the student category

  1. Open Info and locate the student-type field
  2. Review whether the profile uses the adult or child category
  3. If a change is needed, open the dialog and inspect the resulting belt and grade
  4. Save only when the category and proposed values are correct

Category and belt change preview before saving

This category determines the belt ladder. It is separate from age calculated from a birth date. Changing categories can map the belt to a different ladder and does not itself create a belt-change history entry.

Someone who has children or represents other students cannot simply be converted into a child profile. Review the family relationship first and use the appropriate account-management route rather than changing categories to solve an access problem.

Consult Attendance and Payments

Under Attendance, review the calendar, totals and promotion progress when available. A booking still waiting for check-in is different from confirmed attendance. Observers count differently from participants, so inspect the underlying class before correcting or interpreting a total.

Payments shows the plan and available history, together with vouchers or annual fees where applicable. A plan assignment is not evidence that money was received. To investigate a discrepancy, check both the covered period and the actual payment record rather than relying on a plan badge alone.

Keep notes and continue follow-up

Notes brings together private notes and references to conversations or automatic emails that exist for the student. Record information useful for academy management and avoid duplicating facts already stored in a payment or attendance entry.

Available actions depend on teacher permissions. Use teacher permissions to grant access. To correct a promotion, follow belt history guidance rather than changing the student’s category.
